Saturday 23 August brief generated 07:00 · you have 3 things

Done while you were asleep

  • 14 emails triaged. 4 marketing binned, 2 new leads logged to the pipeline, 3 filed against existing jobs, 5 left for you.
  • 2 supplier invoices read and filed. Segen £3,412 → DOM-003 Littlecote. Rexel £889 → DOM-074 Carrick House. Both matched on the PO, both on the forecast.
  • Forecast rebuilt at 06:45 with the two new invoices. Week commencing 7 Sep is still the tight one.
  • Compliance swept at 07:00. Nothing expiring inside 30 days except AXA, which you already know about.
  • Littlecote scaffold confirmed — On Site replied at 22:14 accepting Tuesday. Filed to the job, schedule updated.
  • 6 supplier invoices ready to post to QuickBooks. 4 clean, 1 needs a job, 1 looks like a duplicate. Roughly a minute to clear.

None of the above needs you. It is listed so you can see it happened, not so you can check it.

Needs you 3

  1. Cumnor Hill chase — £8,340, 39 days. Draft written. This one invoice is the difference between 7 Sep closing at £8,290 or minus £50.
  2. Kings Road quote — £10,718, ready to go. Priced at 16 panels; 18 would cost you £220.
  3. CEF invoice, £1,204 — no PO, delivery to the unit not a site. Held out of the forecast until you say where it goes.

Money out — what you can and cannot currently see

Supplier invoices sit in Outlook for days before anyone enters them. The further ahead you look, the more of your outgoings are invisible to QuickBooks — which is exactly the period you are trying to plan.

Segen INV-884213 appears twice — same reference, same amount, sent again on the 22nd. Almost certainly a re-send rather than a second delivery. Left unticked; tick it only if two separate deliveries genuinely happened.

CEF has no purchase order and delivered to the unit rather than a site, so there is nothing to match it to. Three jobs had CEF orders that week. Assign it a job and it will tick itself.

Where drafts appear Anything the AI writes shows up in the place you'd normally do that work — a chase sits with the invoice, a quote sits with the job, an email sits in the composer. This tab is just a roll-up so nothing gets lost. There is no separate approval queue to remember to check.

Chase drafted — 18 Cumnor Hill, £8,340 AI draft

39 days out, terms were 30. Job completed 17 June, handover signed, MCS registered — nothing in dispute. Written in your voice, direct tone, asks for a payment date.

Quote ready — 15 Kings Road AI draft

Slate, 16 panels, 7.44 kWp, Fox hybrid 7kW with an EP12. £10,718 ex VAT, payback 8.1 years on their actual bill. Priced at 16 rather than 18 — the 18th panel adds £1,150 of labour for £930 of sell.

CEF invoice needs a job — £1,204

No PO on the document and the delivery address does not match any open job. Confidence 0.41, so it is being kept out of the forecast until you say where it belongs.

Scaffold booking — 1 Littlecote

On Site Scaffolding have Tuesday or the following Monday. Tuesday holds the install date; Monday pushes handover into October and past month end.

They are not contradicting each other. SSEN's fast-track page is written for domestic micro-generation — it never says "per phase" and never mentions three phase at all, and every kW in brackets is a single-phase conversion. National Grid's figures cover a wider band. Different scopes, not a clash.

SSEN's third tier is the one to check. Total capacity up to 60A (14.72 kW) where registered capacity is held to 32A (7.36 kW). If that works the way it reads, jobs you currently send down full G99 could go fast track.

Carrick House looks late and isn't. 34 calendar days reads alarming, but it is 24 working days into a 45 working day window — three weeks of runway left. Chasing now would only make you the installer they deprioritise.

Perkins Way is the one that actually slipped. Fast track, so it was due back on 11 August. Nineteen working days elapsed against a ten day window. Nobody noticed because it looked no different from Carrick House on a calendar.

System what ran, what it cost, what's built

03

How an invoice becomes a forecast line

FREQUENCY = HOW OFTEN IT ACTUALLY RUNS

Each dot moves at the real cadence of that step. The mailbox check is constant; the forecast rebuild happens once, overnight. The rhythm is the system.

BEFORE found out at month end Outlook classify Haiku extract Haiku match to job jobs-index money_out 13-week forecast every 15 min only if it is an invoice state = invoiced rebuilt 06:45

The fast dot is your mailbox. The slow one is the nightly rebuild. The dim one at the top is how you used to find out.

There is no standing agent fleet These are scheduled jobs, not personalities sat waiting to be talked to. Each one wakes up, does a defined piece of work against the data, writes the result, and stops. That is the difference between this and the last attempt.
